The Contracts Coordinator supports the Care Site’s executive and finance team in the oversight and management of the contracting process for referral source contracts at the Care Site.  This position also provides administrative support to assigned counsel.
 
Enters, maintains, retrieves, manages and reports on contracts in the applicable contract management database(s).
  • Guides contracts through all steps of the contract process:
    • Serves as the clearinghouse for all Care Site staff and departments who wish to enter into a contract.
    • Educates and trains Care Site departments regarding the contracting processes.
    • Interfaces and communicates with legal counsel.
    • Screens all potential contracting parties against the HHS/OIG List of Excluded Individuals/Entities and the General Services Administration’s exclusion records.
    • Prepares draft agreements and associated approval documents (as applicable) for legal counsel and executive review and approval.
    • Prepares final versions for execution and routes to gather appropriate signatures.
    • Disseminates the contract or contract information as necessary to the parties and pertinent Care Site departments.
    • Ensures fully executed agreements are uploaded in the contract management database and that the supporting electronic contract record is complete and accurate.
    • Maintains electronic contract management database containing information specified by legal counsel.
    • Abstracts contract data from contract management database via regularly scheduled reports and on an ad hoc basis as requested.
    • Monitors log of contracts approaching date for contract renewals/terminations.
    • Prepares cover letters and other correspondence to the contract parties including formal notices related to contract compliance, renewal or termination as needed.

      • Coordinates the annual contract evaluation review as required by applicable accreditation or regulatory bodies.  This includes but is not limited to:

      • Identifying the current contracts to be reviewed;
      • Developing and updating evaluation templates;
      • Disseminating agreements and evaluation templates as applicable;
      • Assuring review of agreements by the appropriate Care Site’s responsible parties;
      • Tracking completion of evaluations and performing follow-up as necessary;
      • Preparing a summary of the evaluation and issues identified; and
      • Uploading to the electronic contract management database information supporting the review as needed.

      • Coordinates the renewal process.  This includes but is not limited to:
      Determining if the parties wish to renew the contract;


      • Determining if the parties wish to change any terms in the contract through communication with pertinent departments and other parties; and
      • Verifying continued compliance with applicable SCL Health contracting policies.

      • Performs contract management database administrative duties:
        • Provide user-access setup, as required.
        • Provide user training, as required.
      • Assists with reviewing and monitoring payments to physicians to ensure compliance to current written agreements and timely payment.
      • Immediately reports any reasonably suspected criminal conduct, malfeasance, nonfeasance or suspected irregularities to the Compliance and Privacy Officer.
      • Performs day to day administrative duties including scheduling meetings, appointments and conferences, preparing documents and correspondence, filing and preparing expense reports.
      • Provides quality customer service with the highest degree of confidentiality, sense of urgency, good judgment and tact when addressing others whether in person, telephonic, in written correspondence or email and facilitates positive internal and external business relationships.
      • Manages multiple tasks and assignments simultaneously in an ever-changing, fast-paced environment.

    Required:
    • AA Degree or Equivalent Experience
