The Manager of Dental Operations provides leadership to dental supervisors (Dental front desk Supervisor, Dental Back Office Supervisor) and the dental staff. The role requires strong supervisory and business skills and includes management of personnel, oversight of all aspects of dental operations which includes any oversight and implementation of practice transformation initiatives. The incumbent will report to the Chief Dental Officer (CDO), be a member of the Joint Leadership committee and will shape the Clinic�s dental service line through collaboration with leaders, staff and providers.


Personnel Leadership

Actively participates on the Joint Leadership Team to develop and implement strategic objectives in support of the organization�s Mission, Vision and Values. Plans and implements strategies to achieve Marillac�s Strategic Plan.

Actively participates and partners with the Chief Dental Officer and Associate Dental Director to develop and implement strategic objectives and transformative initiatives. This could be in partnership with the Director of Behavioral Health, the Director of Quality and Process Improvement and outside entities.

Forms an effective partnership with the Chief Dental Officer, Associate Dental Director, peer leaders and direct reports.

Translates strategic and tactical business plans into an operational plan for the dental clinics. Interprets the impact of new programs/strategies and regulations on dental operations to recognize gaps and to plan process improvement projects. Ensures that plans facilitate and support the delivery of cost-effective, high quality patient care and maximize patient satisfaction.

Maintains a high customer service standard. Leads effort to provide an excellent work environment for associates and an outstanding service experience by patients.

Provides day to day leadership and oversight of dental operations. Oversees adequate staffing and efficient day-to-day operations. Approves scheduled and unscheduled absences for direct reports. Closely monitors staffing per budget and clinic needs.

Personally works with supervisors in Human Resource matters such as associate conflicts, poor performance, unprofessionalism and disciplinary actions

Mentors direct reports in management skills. Directly oversees hiring process to ensure that all recruitment efforts result in the hiring of quality staff.

Plans and implements training programs for medical staff. Directs testing programs to ensure competence of all staff.

Actively participates in the Quality Improvement Plan supporting all practice transformation initiatives.

Business Leadership

Collaborates with Dental Leadership to devise optimal practice models, evidence-based care protocols and ideal staffing models. Responsible for developing strategies to ensure high quality cost effective clinical care.

Works with the Chief Financial Officer (CFO) and CDO to prepare budgets and other financial reports for the dental clinics�especially related to projected staffing, productivity and capital expenditures for dental operations. Develops, produces and monitors reports of performance to budget and recommends and implements timely and appropriate corrective action.

Monitors weekly supply costs and non-salaried expenses with the aim to control expenses.

Measures, understands and predicts patient demand for visits. Ensures the development of scheduling templates and techniques for adaptive schedule modification to maximize utilization while ensuring adequate patient access for follow-up and acute needs.

Monitors dental provider utilization. Ensures that the schedules and practices support Marillac strategic plan, budget and target for HRSA unduplicated patient count.

Assists in the development of work plans and budgets related to grant proposals.

Collaborates with CDO, CFO and Revenue Cycle Manager to ensure appropriate billing of services and to maximize collection of patient revenues within the dental revenue cycle. Ensures that personnel are trained, correctly assess co-pay�s, sliding scale, etc. and consistently collect payments for services. Develops systems for reporting and auditing collections.

Develops, collects and analyzes patient satisfaction survey data for trends and recommends process improvement.

Personally works with supervisors and dental leadership in managing patient complaints. Interfaces with patients and staff to gather facts on patient grievances and works to maximize patient satisfaction. Directs appropriate documentation of complaints and resolution efforts.

Compliance Officer

Develops, organizes, codifies and implements policies and procedures to support clinical services. Reviews policies and procedures of the clinic to determine deficiencies and ensures compliance with all laws, active grants and regulations from accrediting agencies. Manages and monitors the distribution, compliance and regular review of policies and procedures to ensure high-reliability within the clinic.

Develops, implements and monitors policies and procedures designed to assure compliance with HIPAA Privacy rules.

Maintains organizational compliance with federal, state, and local regulatory requirements. Audits clinic operations and staff performance against Marillac procedures and policies.

Oversees the process of accreditation and/or certification of the dental medical clinics.

Leads participation in internal (e.g., Infection Control, Environment of Care) and external quality audits (e.g., RMHP, HRSA, CDPHE). Prepares the health center for state and federal audits from planning phase through exit conference, preparation of action plans and rebuttals.

Safety Officer

Maintains a safe work environment. Plans and implements patient and staff safety policies and activities in support of National Patient Safety Goals.

Collaborates with leaders throughout the organization to ensure the health center participates in a �just� culture of safety. Develops staff surveys to assess culture and willingness to report unsafe practices.

Manages incident reports, addresses safety issues, consolidates corrective action plans and evaluates initiatives to determine effectiveness.

Collects, analyzes and reports patient safety data on selected patient safety measures important to the health center.


Ensures that the best interests of the organization are maintained.

Participates in professional development activities and maintains professional affiliations.

Maintains current knowledge of best practices in community health centers. Identifies and implements best practices and standards utilizing internal and external resources in coordination with management team.

Performs other duties and responsibilities as required.



A. Education / Experience

  1. Bachelor�s Degree preferred. Equivalent experience will be considered.

  2. Minimum of three years of experience in leadership positions, including at least two years in dental operations. Community Health Center experience preferred.

  1. Knowledge, skills and abilities:

  1. Knowledge of the principles and practices of health care administration and organizational compliance.

  2. Knowledge of federal and state regulations (e.g., HIPPA, OSHA, etc.).

  3. Knowledge of accrediting organizations (HRSA, Joint Commission, etc.).

  4. Knowledge of the principles and practices of employee development .

  5. Knowledge of computer systems, programs and applications.

  6. Ability to attract and motivate high performing associates and build successful teams.

  7. Excellent verbal and written communication skills.

  8. Ability to work flexible and extended hours and to travel between sites as needed.
